Billing and Collections Executive

About the role

Darwin AI is looking for an organized Billing and Collections Executive with strong attention to detail to handle billing, collections, internal and external customer service and general administrative support. The role requires close coordination with other departments and the management of billing software and customer databases.

Key responsibilities

• Billing: calculate and update monthly and projected billing, issue invoices in Argentina via ARCA, in Brazil via Receita Federal, from Mexico through the local office and for the U.S. entity via Chargebee, enter new clients and configure plans, discounts and terms in Chargebee, email invoices and upload them through client portals.
• Collections: follow up on outstanding payments, record received payments, reconcile payments across bank accounts and maintain updated client payment terms.
• Customer care: manage billing email inquiries, resolve issues, resend or correct invoices, cancel transactions, apply discounts, renew payment links, update billing or shipping information and share account statements.
• Sales assistant: handle vendor onboarding, keep customer and contract databases up to date.
• General admin: manage commission payments for the sales team/partners and organize collection data.

Required profile

• Bachelor's degree in Accounting, Finance, Business Administration or a related field.
• 2+ years of experience in billing, collections or accounting roles.
• Familiarity with client portals and electronic invoicing systems (ARCA, Receita Federal); regional billing experience (Argentina, Brazil, Mexico, U.S.) is a strong plus.
• Spanish (native/fluent), English (advanced); Portuguese desirable.
• High attention to detail, organizational skills, strong communication and customer service, and ability to work independently.

Required skills

• Microsoft Excel or Google Sheets for billing tracking and reporting.
• Experience with billing and subscription platforms such as Chargebee is highly desirable.
