Operations Representative – Boarding Agent / Maritime Ship Agent

About the role

The Operations Representative (Boarding Agent) supports Inchcape’s 24/7 on‑call logistics service for principals, ensuring safe and efficient turnaround of vessels at the Rio de Janeiro port. The role combines customer service, vessel coordination and documentation duties in a fast‑paced maritime environment.

Key responsibilities

• Determine berth availability, assess local port conditions and communicate requirements to ship captains and principals.
• Prepare and distribute pre‑arrival documentation, visitor/vendor lists and coordinate sailing arrangements.
• Arrange pilots, tug services and monitor vendor deliveries such as medical services or crew catering.
• Assist with crew lodging, travel, transportation and resolve any crew change issues.
• Conduct ship boarding, collect required customs and cargo documentation, and draft Statements of Facts for each port call.
• Maintain relationships with terminals, vendors, government officials and ensure timely issuance of shipping documents.

Required profile

• High school diploma or GED required; Bachelor’s degree in Maritime or Business Administration preferred.
• 0–4 years of experience in the maritime industry with exposure to various vessel types.
• Valid driver’s license, reliable personal transportation and vehicle insurance.
• Ability to balance multiple tasks, meet deadlines and communicate clearly in writing.

Required skills

• Proficient with Microsoft Office suite (Outlook, Excel, Word).
• Experience using POPDA, the company’s operating system, for data updates and reporting.
