Operations Specialist (Remote, EST timezone)

About the role

Darkroom is seeking a remote Operations Specialist to support its fast‑growing client services teams. You will own the operational backbone for onboarding, workflow refinement, compliance and platform support, ensuring seamless delivery for enterprise accounts.

Key responsibilities

• Manage client onboarding and off‑boarding, coordinating kick‑offs, documentation, credential access and database integrity.
• Tailor Notion dashboards and structures to each client’s needs, keeping solutions visible to leadership.
• Partner with Service Directors on staffing changes, capacity tracking and ledger updates.
• Assess day‑to‑day system usage, intervene before workarounds solidify, and build new workflows as required.
• Develop and maintain automations across Notion, Slack, Google Workspace, Fireflies and other SaaS tools.
• Create SOPs, training material and documentation so processes run independently of any individual.

Required profile

• Experience in client‑facing operations, account management or project management, preferably in an agency or DTC/e‑commerce environment.
• Ownership instinct – takes problems end‑to‑end and treats built solutions as ongoing responsibilities.
• Resourceful, autonomous and highly organized with a growth mindset.

Required skills

• Professional‑level competency in Notion (databases, relations, rollups, permissions).
• Hands‑on experience building end‑to‑end automations with Zapier, Make, n8n or similar platforms.
• API‑based integrations across SaaS tools.
• Proficiency with Google Workspace, Slack and Fireflies.
• Use of AI tools to accelerate operational speed and quality.
