Executive Assistant to School Leadership

About the role

Avenues São Paulo is seeking a proactive Executive Assistant to support the Head of School and the Academic Operations Manager. This role blends high‑level administrative support with system design, ensuring smooth daily operations and a seamless experience for families, faculty, and students.

Key responsibilities

• Manage the Head of School’s complex calendar, prioritize appointments, and act as the primary point of contact.
• Design, implement, and continuously improve administrative systems for recurring tasks and workflow efficiency.
• Coordinate domestic and international travel, entertainment arrangements, and expense reporting with precision.
• Support school visits, professional development sessions, and leadership conferences, maintaining Avenues standards.
• Assist the Academic Operations Manager with meticulous record‑keeping for students and faculty, ensuring compliance with local education regulations.
• Prepare, update, and submit critical documents such as transcripts, diplomas, and enrollment statements.
• Contribute to mandatory reporting, including the annual School Census, and manage government‑related registrations.
