Operations Representative – Boarding Agent (Maritime)

About the role

The Operations Representative (Boarding Agent) supports Inchcape’s 24/7 on‑call service for principals, ensuring safe and efficient turnaround of vessels at the Santos port. Reporting to the Operations Manager, the role combines customer service, logistics coordination and vessel boarding duties.

Key responsibilities

• Determine berth availability and communicate local port conditions to ship captains and principals.
• Prepare and distribute pre‑arrival documentation, including required vendor and crew lists.
• Arrange pilot services, crew lodging, transportation and other vendor services such as medical or food deliveries.
• Conduct ship boarding, collect required customs and cargo documentation, and coordinate tug and pilot operations.
• Draft and deliver Statements of Facts (SoF) and daily cargo updates to principals, while seeking cost‑saving opportunities.

Required profile

• High school diploma or GED required; Bachelor’s degree in Maritime or Business Administration preferred.
• 0‑4 years of experience in the maritime industry with exposure to various vessel types.
• Valid driver’s licence, reliable personal transportation and vehicle insurance.

Required skills

• Proficient use of Microsoft Office suite (Outlook, Excel, Word).
• Experience with POPDA operating system for data entry and reporting.
