Remote Executive Assistant – Billing & Receivables

About the role

Medicaidsoft, a U.S.-based SaaS company, is looking for a highly organized Remote Executive Assistant to support the CEO and lead salesperson. The core of the role is managing billing, invoicing, and accounts receivable while also handling executive and sales administrative tasks.

Key responsibilities

• Issue invoices accurately and on schedule.
• Track receivables, follow up on overdue payments, and manage payables.
• Maintain organized and reconciled bookkeeping records.
• Identify and flag billing discrepancies before they become issues.
• Manage email inboxes, calendars, and scheduling for senior leadership.
• Prepare and send follow‑up communications to clients and prospects.
• Keep the CRM up to date with activity logs, record updates, and summary reports.
• Draft professional documents, emails, and reports.
• Handle ad‑hoc tasks that free up leadership’s time.

Required profile

• Fluent, professional written English – non‑negotiable.
• Proven hands‑on experience with receivables, payables, and bookkeeping.
• Strong organizational skills with the ability to close loops independently.
• Reliable, self‑directed, and trustworthy with sensitive financial data.
• Stable internet connection and a quiet remote work environment.
• Reasonable overlap with U.S. business hours.

Required skills

• Advanced Excel or equivalent spreadsheet tools.
• Experience with accounting software (e.g., Zoho Accounting).
• Familiarity with CRM platforms (e.g., Zoho CRM).
